1. What does the Privacy Policy cover?

This privacy policy ("Privacy Policy") describes how this website ("Site") and our application ("App") handle the processing of personal data ("Personal Data" or simply "Data") relating to users who visit our website and use our application.

This Privacy Policy applies only to the website https://www.joinrs.com/ (the "Site") and the Joinrs App, a brand owned by Joinrs S.r.l., and does not apply to other websites or applications that the user may visit or use.

As a result of visiting this Site and using our App, Personal Data relating to identified or identifiable individuals may be collected. The Data will be processed in full compliance with the personal data protection legislation set out in Regulation (EU) 2016/679 ("GDPR") and Directive 2002/58/EC (the "ePrivacy Directive").

2. Who is the Data Controller?

The Data Controller is Joinrs S.r.l. ("Joinrs", "We", the "Company" or the "Data Controller"), with registered office at Via Marsala 29H, Rome - 00185, Italy.

The Data Controller has appointed a Data Protection Officer ("DPO"), who may be contacted at dpo@joinrs.com.

3. What Personal Data do we collect?

We collect and process Personal Data in different ways:

  • Personal Data voluntarily provided by the user. We collect personal information relating to the user when the user actively provides it, for example when contacting us for immediate assistance or deciding to join our community by registering on our Site, downloading our App and using our services.
  • Personal Data collected through use of the Site and the App. We automatically collect certain personal information while the user browses and uses our Site and App.

What types of Personal Data do we process?

Identification and contact data of the user interested in the Data Controller’s services and of the recruiter. Personal information requested from the user to complete the form available on the Site and in the App in order to create a profile, such as first name and last name, email address and telephone number, current location, place of residence, date of birth, curriculum vitae and information relating to university and postgraduate studies. We also process the recruiter’s Personal Data required to complete the form available on the Site and in the App.

Location data. We may approximate the user’s location based on their IP address.

Automatically collected information. When the user uses our Site or App and interacts with us through a computer or any mobile device, whether by accessing the Site or using the App, we may automatically collect information about how the user accesses and uses the Site and App. We use this information to improve and personalise the user experience, monitor and improve our services and for other internal purposes.

We generally collect this information through various tracking technologies, including cookies, pixels, web beacons, embedded scripts, location-identification technologies and similar technologies (collectively, "tracking technologies"). The user may accept or reject these technologies by changing the privacy preference settings in their browser or, where applicable, in their profile settings.

4. What Personal Data do we not collect?

We do not collect or process the following Personal Data relating to the user:

  • racial or ethnic origin;
  • political opinions;
  • religious or philosophical beliefs;
  • health or medical conditions;
  • criminal records;
  • trade union membership;
  • genetic or biometric data;
  • sex life or sexual orientation.

We ask our users not to send us or disclose Personal Data belonging to the special categories listed above through the Site, the App or directly to our contact addresses.

5. Why do we process the User’s Personal Data?

If the user uses our App, Personal Data is processed for the following purposes:

Allowing the user to register with the Joinrs App

We may process the user’s Data to allow them to register with our App and use Joinrs services. By clicking the "Register" button in our App, the user may enter the following Data:

  • first name and last name;
  • email address;
  • password chosen for registration.

Legal basis for processing: performance of our pre-contractual and contractual obligations for the purpose of providing services to the user.

Allowing the User to be contacted by prospective employers and making the User’s profile visible

Following creation of the User Account and on the basis of the information provided by the User through their CV, such as education, experience and professional preferences, the User may be contacted by prospective employers or directly by Joinrs through the email address provided by the User at registration or through the contact details included in the CV uploaded by the User. When the User creates their profile, uploads or updates the CV, the User is informed that the profile is set as "searchable" by default. This means that it may be viewed by employers and agencies using the Joinrs platform. The User may enable or disable this option at any time from the "Settings" section of their profile. If disabled, the User’s contact details will no longer be visible to companies and direct contact cannot be established, unless the User has already submitted applications or shared their CV. The system includes a direct chat function between companies and Users. Companies may send the User a connection request, which the User may accept or reject. If accepted, a chat conversation will be activated and the company will be able to view the User’s contact details. If rejected, the chat will not be activated and the contact details will remain confidential.

Online experiences

Online experiences are webinars organised by client companies in collaboration with us to present the working environment, specific professional roles or the technologies and programmes used on a daily basis within the company. The user registers through the platform and the live session is held via Zoom. The company receives the user’s first name, last name, email address and information regarding the user’s studies and, at the end of the session, information on the action taken by the user, for example attendance at the live session, registration only, or streaming after the session. At the end of the session, a thank-you email is sent to participants and may include links to the company’s job opportunities. The company may contact users registered for the webinar again exclusively for recruitment purposes.

Legal basis for processing: performance of our contractual obligations to provide services to the user and ensure their participation in the webinar organised by companies collaborating with us.

Responding to users’ questions and handling their requests

To respond to requests and questions concerning our services that the user sends to us using the contact details provided in the App.

Legal basis for processing: properly and promptly managing users’ requests and ensuring the service offered by the Data Controller.

Ensuring the technical operation of the App

We collect and use the user’s Personal Data to administer the App from a technical perspective and ensure that it operates correctly. We may use personal information provided by the user to respond to reports or complaints concerning the correct operation of our systems.

Legal basis for processing: our legitimate interests in ensuring the correct technical and IT operation of the App.

Profiling activities

With the user’s specific consent, expressed by voluntarily setting filters to indicate preferences regarding job opportunities, the user’s Data may be used for marketing and profiling activities intended to identify the most relevant professional opportunities and facilitate the matching of job supply and demand. Profiling may also be based on Personal Data collected through cookies, as explained in greater detail in the Cookie Policy.

Legal basis for processing: the User’s prior and explicit consent to profiling for marketing purposes, and our legitimate interest in improving the matching service and identifying the job opportunities most relevant to the User, without prejudice to the User’s right to object.

Marketing communications

After the user completes a specific form in the App, we may send our marketing communications to the user by email, either directly or through our IT service providers.

Legal basis for processing: the user’s prior and explicit consent. We remind users that they may stop receiving direct marketing communications, including communications for which they have already given consent, by unsubscribing from newsletters or notifying us by email. If the user has already used Joinrs services, we may contact the user by email to provide information about similar services and keep the user informed of the latest news. Legal basis for this latter processing: our legitimate interest in directly promoting the Company’s activities and services to our customers. The user may object to this specific direct marketing processing at any time by sending an email or unsubscribing through the link included at the bottom of our newsletters.

Informing the user of changes to the App terms and conditions of use and providing this Privacy Policy

To send information concerning changes to the App terms and conditions of use and to provide this Privacy Policy.

Legal basis for processing: our legitimate interest in informing the user sufficiently in advance of the effective date of such changes.

To comply with our legal obligations and orders from public authorities, which may include measures adopted by authorities located outside the user’s country of residence, where we are required to make such disclosures and where disclosure of the user’s Personal Data is strictly necessary to comply with those legal obligations or authority orders.

Data analysis to improve the App

We collect certain information in order to carry out analyses that enable us to improve our services and our App. Such Data is used in aggregate form and exclusively for statistical purposes.

Fraud and abuse prevention

We will use information relating to fraudulent or criminal activities connected with use of our services in order to detect and prevent fraud or abuse.

To enforce our contractual terms and conditions under the law, protect our business operations, rights, privacy, security or property, and/or those of our affiliates, and to exercise available legal actions and remedies or limit potential damage for which we may be liable.

If the user browses our website, Personal Data is processed for the following purposes:

Allowing the user to join the Community

We may process the user’s Data to allow the user to register on our Site by completing the "Become a new joinrs" section. By clicking the "Register" button on the Site, the user may enter information concerning their field of study, university and place of residence. To complete the registration process, the user must also provide their first name and last name, email address and password.

Legal basis for processing: performance of our pre-contractual and contractual obligations for the purpose of providing services to the user.

Allowing the Recruiter to create a personal profile

To allow recruiters to create a profile from which they may present job opportunities to users.

Legal basis for processing: performance of our pre-contractual and contractual obligations for the purpose of providing services to recruiters who register on our Site.

Use of artificial intelligence systems

Joinrs uses artificial intelligence systems to analyse the information provided by the User in their profile and Curriculum Vitae in order to provide suggestions regarding compatibility with job opportunities and support guidance for interview preparation. Such processing does not produce legal effects concerning the User and does not involve automated decision-making within the meaning of Article 22 GDPR. In accordance with Regulation (EU) 2024/1689 on Artificial Intelligence (AI Act) and the relevant Italian national legislation, Law No. 132/2025, Joinrs has adopted the organisational, technical and documentary measures necessary to ensure full compliance with the applicable obligations. In order to provide candidates with complete and transparent information, they are invited to review the Notice on the Use of Artificial Intelligence Systems, which describes the AI systems used by Joinrs and their purposes, the classification of the systems under applicable law, the data processing methods connected with the use of such systems, and the rights afforded to candidates.

Online experiences

The user may object to this specific direct marketing processing at any time by sending an email or unsubscribing through the link included at the bottom of our newsletters.

Informing the user of changes to the Site terms and conditions of use and providing this Privacy Policy

6. To whom is the User’s Personal Data disclosed?

The User’s Personal Data may be shared, for the purposes described above, with:

  • Persons who generally act as processors pursuant to Article 28 GDPR, namely: (i) individuals, companies or professional firms providing Joinrs with assistance and advice in accounting, administrative, legal, tax, financial and debt-recovery matters in connection with the provision of the Services; (ii) entities with which it is necessary to interact in order to provide the services, for example hosting providers, platforms and companies through which access using a personal account is possible; and (iii) entities responsible for technical maintenance activities, including maintenance of network equipment and electronic communications networks (collectively, the "Recipients"). A list of processors processing Data may be requested from the Data Controller or the DPO by writing to dpo@joinrs.com.
  • Persons, entities or authorities acting as independent data controllers to whom disclosure of Personal Data is mandatory pursuant to legal provisions or orders issued by authorities.
  • Recruitment companies that collaborate with Joinrs or use the Site to publish job opportunities.
  • Persons authorised by Joinrs to process Personal Data pursuant to Article 29 GDPR where necessary to perform activities strictly connected with the provision of the Services and who have undertaken an obligation of confidentiality or are subject to an appropriate statutory duty of confidentiality, for example Joinrs employees.

The Data may also be accessible to other companies and temporary employment agencies that use Joinrs to receive CVs and unsolicited applications. By applying for a job opportunity on Joinrs, providing your contact details to express interest in an opportunity, or responding to a message from an employer, you consent to the disclosure of your information to that employer and/or the relevant temporary employment agency, and to being contacted by such employer or agency for employment-related purposes.

7. What rights does the User have in relation to the processing of Personal Data and how can they be exercised?

Individuals to whom the Personal Data relates have the right, at any time, to obtain confirmation as to whether or not such Data exists, to know its content and origin, to verify its accuracy, or to request that it be supplemented, updated or rectified, pursuant to Articles 15 and 16 GDPR. In particular:

  • Right of access. The right to obtain access to personal information relating to the user, together with certain related information.
  • Right to data portability. The right to receive personal information in a commonly used format and transmit it to another data controller.
  • Right to rectification. The right to obtain, without undue delay, rectification of Personal Data where it is inaccurate or incomplete.

Pursuant to Articles 17, 18 and 21 GDPR, the user has the right to request erasure, restriction of processing, anonymisation or blocking of Data processed unlawfully, and to object to processing on legitimate grounds. In particular:

  • Right to erasure. The right to obtain erasure of Personal Data without undue delay in certain circumstances, for example where it is no longer necessary for the purposes for which it was collected or processed.
  • Right to restriction of processing. The right to obtain, in the specific circumstances provided by applicable law, restriction of Data processing for a specified period, for example where the accuracy of the Personal Data is contested, for the period necessary to verify its accuracy.
  • Right to object. The right to object, on grounds relating to the user’s particular situation, to the processing of their Personal Data and to object to processing for direct marketing purposes, to the extent that it relates to such direct marketing.

The Data Subject has the right to withdraw consent at any time where consent constitutes the legal basis for processing Personal Data. Withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.

8. How long do we retain Personal Data?

We will retain the user’s Personal Data for the time necessary to achieve the purposes described above and, in any event, until the Data Subject requests its deletion, without prejudice to any retention obligations imposed by law. In accordance with the terms of service set out on our Site and App, the Data Controller undertakes to safeguard the Data entered by the user and make it available to the user for processing through the tools provided by our services.

9. What transfers may we make?

In connection with the processing activities described above, we may disclose information and Personal Data to recipients located outside the European Union, in particular in the United States. Where Data is transferred outside the European territory, we ensure that such transfer will take place in accordance with applicable legal provisions by entering into, where necessary, agreements ensuring an adequate level of protection and/or adopting the standard contractual clauses approved by the European Commission.

10. How do we protect the User’s Personal Data?

Information security is very important to the Data Controller and we have implemented safeguards designed to preserve the integrity and security of the information we collect and share with our Site and App providers. However, no security system is impenetrable and we cannot guarantee the security of our systems one hundred per cent. If any information under our control is compromised as a result of a security breach, we will take reasonable steps to investigate the situation and, where appropriate, notify the individuals whose information may have been compromised and take other measures in accordance with applicable laws and regulations.

11. Unsubscribing from Services

To stop receiving commercial and promotional information from Joinrs, the user may send an email to the Data Controller at the addresses indicated in this Privacy Policy or unsubscribe from our newsletter by clicking the link included at the bottom of our marketing emails.

12. Applicable Law

This Privacy Policy shall be governed by and construed in accordance with the applicable provisions and any other mandatory legislation applicable within the European Union.

13. Complaint to the Italian Data Protection Authority

The Data Subject may lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali), accessible through the website https://www.garanteprivacy.it/.
