Description

Are you a friendly, organised, and outgoing individual who thrives in a fast-paced environment? We’re looking for an exceptional Front of House Coordinator to be the first impression at our Checkout.com London office and the primary point of contact for our merchants and visitors.

In this pivotal role, you’ll set the tone from the moment someone walks through the door, creating a welcoming, professional atmosphere where every interaction reflects the quality of our brand.

This is not a traditional reception role. You’ll own the Front of House experience end-to-end — managing the reception area, coordinating meeting room schedules, and handling enquiries with confidence, while working closely with teams across the business to ensure smooth, seamless daily operations.

If you’re passionate about delivering outstanding customer service, take pride in presentation and organisation, and have a natural ability to multitask and anticipate needs before they arise, this role is made for you.

Responsibilities

• Own the reception desk, managing incoming calls and directing enquiries efficiently and appropriately.

• Coordinate meeting room bookings and schedules, ensuring spaces are prepared and utilised effectively.

• Maintain a polished, organised Front of House and reception area, including oversight of office supplies and mail distribution.

• Manage all incoming and outgoing mail and courier requirements with accuracy and care.

• Prepare, issue, and manage visitor access passes in line with company security procedures.

• Respond to emails, service desk requests, and general correspondence promptly, professionally, and within agreed SLAs.

• Manage the London office inbox and internal workplace calendar, ensuring clear communication and timely updates.

• Maintain and administer Visitor Management Systems, including Envoy and Brivo.

• Provide administrative and operational support to teams across the business to enable smooth day-to-day office operations.

• Support purchase order and invoice processes related to office and workplace operations.

• Act as a trained First Aider and Fire Warden (training provided if required).

• Maintain and continuously improve the Front of House playbook.

• Respond to London based Slack queries in a timely, helpful, and professional manner.

Requirements

• Full time, Onsite role 08.30-17.30 (Reception opening hours)

• Proven experience in a front-of-house or reception role, preferably in a professional setting.

• Excellent verbal and written communication skills.

• Strong organisational and multitasking abilities.

• Friendly and approachable demeanour, with a passion for customer service.

• Proficiency in Google Office Suite.

• Previous experience utilising Visitor Management Software

• Ability to work independently and as part of a team.

• High attention to detail and a proactive approach to problem-solving.
