Role Overview

We are seeking a motivated and detail-oriented Specialist – Talent Acquisition Shared Services to support backend recruitment operations within a centralized Talent Services / Shared Services environment. The role will focus on executing day-to-day recruitment support activities, maintaining operational accuracy, ensuring timely processing of requests, and providing coordination support to recruiters, hiring managers, candidates, and HR stakeholders. This position is ideal for professionals with foundational experience in recruitment operations or HR shared services who are looking to build expertise within Talent Acquisition operations and service delivery.

Key Responsibilities

• Talent Acquisition Shared Services Operations Coordination

  • Support backend Talent Acquisition operational processes in accordance with defined procedures and SLAs.
  • Perform recruitment support activities including:
    • Interview scheduling and coordination
    • Candidate communication support
    • Requisition updates and maintenance
    • Recruitment tracker management
    • Candidate documentation collection and verification
    • Offer documentation support
    • Onboarding coordination activities
    • Recruitment system updates
    • Background verification coordination support
  • Ensure timely completion of assigned operational tasks and requests.
  • Maintain accuracy and completeness of recruitment-related information across systems and trackers.

• Process and SLA Adherence

  • Follow established recruitment operational procedures, guidelines, and quality standards.
  • Ensure adherence to agreed turnaround times and SLAs.
  • Escalate delays, discrepancies, or process issues to the appropriate team members.
  • Support maintenance of operational records and documentation for compliance purposes.

• Stakeholder Support and Coordination

  • Coordinate with recruiters, candidates, hiring teams, onboarding teams, and HR stakeholders for recruitment support activities.
  • Respond to operational queries in a timely and professional manner.
  • Ensure a positive and efficient support experience for internal and external stakeholders.
  • Assist in managing recruitment-related requests and follow-ups.

• Operational Support & Continuous Improvement

  • Support day-to-day operational activities within the Talent Acquisition Shared Services team.
  • Participate in process improvement and standardization initiatives.
  • Contribute to maintaining SOPs, process documents, and knowledge repositories.
  • Support team members during high-volume hiring periods and operational peak cycles.

Required Qualifications & Experience

• Education

  • Bachelor’s degree in human resources, Business Administration, Operations, or related field.

• Experience

  • 4+ years of experience in Recruitment Operations, HR Operations, Talent Acquisition Coordination, or HR Shared Services.
  • Exposure to recruitment support processes or HR operational environments preferred.
  • Experience working with HR systems is an advantage.
