Process Improvement and Project Management Specialist

The Process Improvement and Project Management Specialist supports the Process Improvement and Project Management function within GM&RA by contributing to project coordination, process monitoring, reporting activities and continuous improvement initiatives. The position is intended for a junior profile at the beginning of their professional career after university graduation, working under the guidance of more senior colleagues and the Head of Management Office. The role supports the collection, organization and analysis of project information, the preparation of reports and dashboards, and the follow-up of timelines, milestones, action plans and deliverables across GM&RA Units and Departments. The position also contributes to initiatives aimed at improving operational efficiency, supporting the introduction of digital tools and facilitating collaboration and information exchange across functions.
Key Responsabilities- Supports the coordination of cross-functional projects across GM&RA by helping to collect and organize information related to objectives, timelines, milestones, deliverables, resource needs, risks and action items, under the guidance of senior colleagues.
- Contributes to the preparation and maintenance of project documentation, meeting materials, action logs, status reports and follow-up trackers for GM&RA initiatives, clinical studies and Regulatory Programs.
- Assists in monitoring project timelines, milestones and deliverables, highlighting delays, inconsistencies or missing information to the relevant project leads or senior team members.
- Supports ad hoc, cross-functional and continuous improvement initiatives by helping to coordinate inputs from GM&RA Departments and relevant corporate functions.
- University degree in Engineering, Science/Pharmacy, Business Administration, Management or related disciplines.
- No prior professional experience is required; internship, thesis project or academic exposure to project management, process improvement, data analysis or pharmaceutical/healthcare topics would be preferable.
- Basic understanding of project management principles, timelines, milestones, deliverables and action tracking.
- Strong organizational skills, attention to detail and willingness to learn in a cross-functional and international environment.
- Ability to work collaboratively with different functions, collect inputs, follow up on open points and escalate issues appropriately.
- Basic knowledge of reporting tools and willingness to develop capabilities in project management, risk management and process improvement methodologies.
- Good analytical mindset and ability to organize information, prepare summaries and support data-driven monitoring activities.
- Knowledge of clinical study or regulatory processes would be a plus.
- Proficiency in Microsoft Office tools, in particular Excel and PowerPoint; knowledge of Power BI would be a plus.
- Basic financial awareness and willingness to understand internal accounting and cost control processes.
- Good written and spoken English.
The role is classified at Level D under the National Collective Agreement for the Chemical-Pharmaceutical Industry (CCNL Chimico-Farmaceutico).
The guaranteed minimum base annual gross salary established by the CCNL for the applicable level is € 31.990,56
The overall compensation will be determined based on the experience, skills, and qualifications of the selected candidate.
