Primary Responsibilities:

• Support marketing campaigns, content initiatives and events

• Track projects, timelines, action items and deliverables

• Coordinate cross-functional communications and stakeholder follow-ups

• Prepare and maintain marketing materials, presentations and documentation

• Assist with social media scheduling and digital content management

• Support trade shows, webinars, conferences and event logistics

Specific Responsibilities:

The Marketing Administrative Analyst supports the Global and North America Marketing team by coordinating marketing projects, tracking activities, preparing materials, supporting events and managing administrative processes to help ensure timely execution of marketing initiatives.

• Marketing Operations Support

  • Support the execution of marketing campaigns, content initiatives and events
  • Maintain project trackers, action items, schedules and status updates established by the Marketing Manager
  • Monitor project progress and follow up with internal stakeholders to help ensure assigned tasks are completed on schedule
  • Track marketing requests and follow up on outstanding items
  • Maintain visibility into ongoing marketing activities and priorities
  • Provide updates on project status, open action items and upcoming deliverables
  • Escalate potential delays, risks, or issues to the Marketing Manager as appropriate

• Administrative Support

  • Schedule and organize marketing meetings.
  • Prepare meeting agendas, presentations, reports, meeting notes and internal communications
  • Document action items and follow up with stakeholders on assigned responsibilities
  • Maintain marketing documentation, digital assets, presentations and shared resources
  • Support general marketing administration and operational processes

• Cross-Functional Support

  • Support communication between Marketing and Creative, Brand, Digital, Web, Social Media, Communications, Copywriting, Finance, Procurement and other internal teams
  • Facilitate the flow of project updates, information and documentation between teams
  • Follow up on reviews, approvals and deliverables to help keep activities moving according to established timelines
  • Coordinate communications and documentation with external vendors and partners supporting marketing initiatives
  • Collaborate with the Marketing Manager and internal stakeholders for review and approval while supporting the timely completion of marketing materials

• Marketing Content & Digital Support

  • Create and update marketing materials using approved branded templates and established brand guidelines
  • Populate and adapt pre-approved templates for presentations, social media graphics, email banners, digital assets, sales collateral, event materials and other marketing communications
  • Prepare marketing materials for review and approval by the Marketing Manager and/or designated stakeholders
  • Incorporate approved feedback and revisions into marketing materials as needed
  • Assist with scheduling and publishing approved social media content using the organization's social media management platform
  • Maintain the social media content calendar and help ensure approved posts are scheduled according to campaign timelines
  • Support the creation and maintenance of marketing materials using tools such as Canva, Adobe Creative Suite, or similar platforms. Training will be provided as needed

• Event Support

  • Support the planning and execution of trade shows, conferences, webinars and other marketing events
  • Maintain event schedules, registrations, attendee lists, vendor communications and post-event follow-up activities
  • Support event planning timelines and key milestones
  • Assist with coordination of event-related materials and logistics

Requisitos

• Strong coordination, communication and interpersonal skills

• Ability to manage multiple tasks with a strong sense of urgency and results-oriented approach

• Proactive, solutions-oriented and adaptable to changing priorities

• Proficient in MS Word, MS PowerPoint, MS Excel and other applications as per SGS guidelines

• Experienced with digital and online communication tools and various media

• Familiarity with marketing collaboration tools, Canva, Adobe Creative Suite and social media management tools is encouraged but not required. Training available

• Quick learner who adapts to new systems and processes

• Adequate fluency in spoken English

• English B2 o C1.
